HR/Finance Associate

SCOPE

This individual will be responsible for a broad scope of Human Resource and Accounting related administrative duties

RESPONSIBILITIES

Human Resource Related Duties:

  • Maintain accurate and complete Human Resource and employee records in compliance with state and federal requirements
  • Advise employees on Human Resource related policies and programs
  • Administer employee benefits program, answer employee questions and support claim resolution
  • Coordinate with hiring managers on the recruitment process. Perform the full life cycle of recruiting activities: recruiting, interviewing and hiring
  • Organize and lead onboarding activities
  • Process new hire, termination and change of status forms
  • Assist with other HR activities as needed including payroll and benefits processing and events planning and implementation
  • Always maintain the highest level of confidentiality

Accounting and Other Administrative Related Duties:

  • Manage the full cycle Accounts Payable process
  • Maintain vendor records and ensure appropriate documentation is secured prior to payment
  • Match invoices to purchase orders, research and resolve discrepancies
  • Obtain appropriate level of approval on invoices where required
  • Enter invoices into Sage accounting system; ensure appropriate general ledger account coding
  • Research and resolve vendor inquiries, issues and discrepancies in a timely manner
  • Prepare and distribute weekly cash disbursements, ensuring accuracy of payments and timeliness in accordance with vendor terms
  • Assemble complete voucher package and check for review
  • Maintain accurate and complete Accounts Payable files
  • Manage and process annual 1099’s
  • Assist in maintaining accurate and complete fixed asset records
  • Open, sort and distribute mail daily
  • Provide administrative assistance to the Finance Team
  • Support the Finance Team on an as needed basis with the preparation of reports, analyses and special projects
  • Assist Director Accounting with preparation for quarterly reviews and annual financial audit
  • Other related duties as required

QUALIFICATIONS

  • Bachelor’s or Associate’s degree in Human Resources, Business Administration or related field required
  • HR Certification desirable
  • Two years of business and/or administrative experience with exposure to human resource policies and practices related to employee relations
  • Accounts payable experience highly desired
  • Must have excellent interpersonal/team skills
  • Strong computer skills (Word, Excel, Outlook, etc.) required
  • Must be able to work independently and possess strong organizational skills
  • Must possess high initiative, attention to detail, and ability to multi-task
  • Positive attitude/adaptability
  • Ability and willingness to be regularly, predictably and reliably at work
